DEFINED-SCOPE PROFESSIONAL DOCUMENTATION

A clear engagement.
An organized evidence file.

For property owners and professional advisers who need records, field observations and a source-referenced account of a roof, land or surface-water concern.

INITIAL PROJECT RETAINER

$2,500

An advance credited against authorized work and approved direct costs. Deliverables, phase budgets and rates are agreed in writing before payment.

Billing baseline: $175/hour, recorded in 0.1-hour increments. Approximately 14 hours of work before approved direct costs. This funding level does not promise completion of every investigation.

Payment is requested only after fit, scope and authority are confirmed. No recurring charge or automatic replenishment.

WHAT THE ENGAGEMENT CAN COVER

Property photographs organized for a scoped documentation consultation.
Concept illustration: Property photographs organized for a scoped documentation consultation.

One property. A defined question.
A documented work plan.

Records and chronology

  • Index supplied deeds, plats, permits and reports
  • Organize photographs and correspondence
  • Build a source-referenced event chronology
  • Identify missing records and unanswered questions

Field documentation

  • Accessible roof or surface-water observations
  • Dated photos and location references
  • Visible-condition and access-limit logs
  • Repeat visits when separately included in scope

Report and technical handoff

  • Annotated exhibits and factual summaries
  • Observation and source distinctions
  • Uncertainties and further-investigation needs
  • Agreed delivery and a scheduled findings review call

The signed work plan identifies which components are authorized. Site visits, extensive records research, additional properties, specialist work and testimony require their own scope and budget. Existing fixed-price roof services remain available separately.

THE ONBOARDING STANDARD

Six steps before substantive work begins.

  1. Fit and conflict reviewDiscuss the property, parties, purpose, deadline and whether CHC can address the question within its qualifications.
  2. Intake and authorityIdentify the client, payer, authorized decision-maker, property-access authority and approved report recipients.
  3. Written scope and budgetDefine the investigation question, records, access, deliverables, exclusions, rates, phase caps and change-approval process.
  4. Agreement and advanceAccept the engagement terms, then use your project-specific Square invoice link to pay the $2,500 advance securely. The invoice identifies your accepted scope and property.
  5. Records receipt and kickoffProvide available originals or copies with their source information. Confirm gaps, priorities and the initial work plan.
  6. Initial review checkpointComplete the agreed desk-review milestone, with a agreed $700 cap including approved direct costs. Review the source index, preliminary chronology and gaps before authorizing the next phase.

BUDGET CONTROL

Know what was done.
Know what remains.

Engagement rules, confirmed in the written agreement.
Time$175/hour baseline; 0.1-hour increments ($17.50). Approved research, analysis, field work, report preparation and substantive meetings are recorded by task.
Direct costs and travelRecords fees, third-party reports and travel time or mileage require written authorization and a stated rate or cap. No undisclosed markup or duplicate recovery.
StatementsWeekly while active: dated task entries, time, rate, approved costs, payments and remaining advance balance.
ReplenishmentAt a remaining balance of $700, review the next phase and estimate. Any request to restore funding to $2,500 needs written authorization and a separate payment. Unapproved work pauses.
Stopping workPause before an approved phase cap or available funds are exhausted. Client changes, new deadlines and added properties need a written scope amendment.
CloseoutProvide an itemized final accounting and return the remaining unearned advance. No monthly subscription, automatic charge or cancellation penalty.

Example: 3.5 authorized hours × $175 = $612.50. With $87.50 of approved direct costs, the total draw is $700 and the remaining advance is $1,800. This is an illustration, not a promised project price.

THE INTAKE FILE

Bring the question and the source material.

Do not send passwords, card details, unrelated personal files or privileged material before the transfer method and recipients are agreed. CHC does not promise attorney-client privilege or automatic confidentiality protection for materials shared with third parties.

PROFESSIONAL BOUNDARIES

Evidence and observations within an agreed role.

The engagement covers defined property research and documentation. It does not include legal advice, boundary determinations, engineering design or hydrologic/hydraulic calculations. Engineers, surveyors and attorneys are separately engaged when needed.

Expert opinions, deposition, hearing attendance and testimony require separate qualification, conflict, scope and fee review. No finding, claim outcome, agency action or court acceptance is guaranteed.
